LEAVING DROPBOX

Move your files off Dropbox without losing the ones you never downloaded.

Copying files out is the easy part. The work is the folders other people own, the folders selective sync left on dropbox.com, and the order you do it in: copy, check, delete, then cancel. Dropbox says a cancelled account changes to Basic and its 2 GB at the end of the billing cycle, and that it may then delete files you own.

START WITH THE SETUP

Before you copy anything

  1. 01

Pick the destination and make room in it first. Apple documents turning on iCloud Drive on each device, or installing iCloud for Windows; Google documents Drive for desktop, which can stream files or mirror a full copy; Microsoft documents the OneDrive desktop app. Remember that Google’s allowance is shared with Gmail and Google Photos, and that Microsoft’s cloud storage covers OneDrive files and photos.

  2. 02

Turn every folder back on in selective sync before you trust the copy on your computer. Dropbox says that if you uncheck a folder, it and everything inside it are removed from your hard drive and are only stored on dropbox.com. The files are still yours; they are just not on the machine you are about to copy from.

  3. 03

Separate what you own from what you do not. Dropbox says files in a shared folder count against each member’s personal storage space, so part of your total can sit in a folder someone else owns.

  4. 04

Note what closing the account costs you. Dropbox gives Basic, Plus, and Family accounts 30 days of version history and keeps their deleted files for 30 days. A copy takes the current version of each file, never its history.

  5. 05

Keep Dropbox paid up until the move is finished, and stop anything still adding to it. Dropbox’s camera uploads can keep sending photos and videos from your phone into the account you are leaving.

WORK THROUGH THE MOVE

Copy, check, delete, then cancel

  1. 1

Choose how to take the copy. Dropbox says you can only download a folder from dropbox.com if it is smaller than 250 GB uncompressed and contains fewer than 10,000 files, with files in nested folders counting toward that limit, and that folders download as compressed .zip files. Individual files have no download size limit, but Dropbox recommends the desktop app for large ones.

  2. 2

If you use the desktop app, let it finish. Every folder should be selected in selective sync and actually downloaded before you treat your hard drive as the copy. Dropbox describes online-only files as placeholders on the desktop, and a placeholder is not a copy.

  3. 3

Deal with shared folders one at a time. Take your own copy of anything you need from a folder someone else owns before you leave it: Dropbox says that after you leave a folder its contents no longer count toward your storage quota, and that if you leave one by accident you have to ask the owner to invite you again. If you own a shared folder, Dropbox says permanently deleting it deletes the folder from every member’s account and permanently removes their access, so tell them first or hand the folder over.

  4. 4

Upload with the destination’s own app rather than a browser when the files are large. Microsoft says the OneDrive website accepts files up to 250 GB depending on your browser, and recommends adding files to the OneDrive desktop app for large files or lots of files. Google Drive stores files up to 5 TB, and Drive for desktop syncs folders from your computer.

  5. 5

Fix the names the destination will refuse. Microsoft says OneDrive and SharePoint do not allow " * : < > ? / \ | in file or folder names, nor leading or trailing spaces, nor reserved names such as .lock, CON, PRN, AUX, NUL, COM0–COM9, LPT0–LPT9, desktop.ini, or names beginning with ~$. Apple says file names and paths should be less than 256 characters to sync to iCloud Drive on Windows; in iCloud for Windows 10.8 or later the file that is too long will not sync while your other files continue to.

  6. 6

Check the copy before you delete anything. Open real files from several folders, not just the folder names. Some things were never in Dropbox to copy: it does not sync files ending desktop.ini, thumbs.db, .ds_store, icon\r, .dropbox, or .dropbox.attr, temporary files beginning ~$ or .~, or symlinks, shortcuts, junction points, resource forks, and networked folders.

  7. 7

Delete from Dropbox only once the copy checks out. Dropbox keeps deleted files for 30 days on Basic, Plus, and Family; after that it says they can no longer be recovered or restored.

  8. 8

Cancel last. Dropbox says your account changes to Basic at the end of the current billing cycle and you are not charged again. Basic is 2 GB. Over that, Dropbox says you may not be able to sync, upload, share, move, or preview files, that it sends email notifications first, and that if the account stays over it may delete your least recently modified files first — only files you own. Shared folders you do not own are removed from your account without deleting their contents.

  9. 9

Delete the account only if you are certain. Dropbox says an active subscription must be cancelled first, that files in private folders are deleted from its servers and are non-recoverable as soon as the account is deleted, and that files in shared folders stay accessible to the other members but not to you. The account cannot be restored.

PUT IT INTO PRACTICE

Four things the move can leave behind

Check these specifically. A matching list of folder names is not proof that the files inside came across.

A folder a colleague owns
Dropbox says files in a shared folder count against each member’s personal storage, so the folder swells your total without being yours. Copy what you need out of it first. Dropbox says that once you leave the folder its contents stop counting toward your quota, and that an accidental exit means asking the owner for a fresh invitation.
Last month’s version of a file
Basic, Plus, and Family accounts get 30 days of version history; Professional, Essentials, Business, and Standard get 180 days. A download or a sync takes the current version only. If an older version matters, restore it in Dropbox first and save it under its own name before you copy.
A folder you switched off in selective sync
Dropbox says an unchecked folder is removed from your hard drive and stored only on dropbox.com. It is easy to copy “everything on this computer” and miss it completely. Re-select every folder and let it download before you treat the local folder as your copy.
New photos your phone keeps adding
Dropbox’s camera uploads can keep sending photos and videos from an iPhone or Android phone to the account you are leaving. Turn it off and set up the destination’s own photo backup instead, so you are not chasing a library that is still growing.

Is there a one-click Dropbox importer?

Not in the pages we read. Apple, Google, and Microsoft each document uploading files or syncing a folder from your own computer; none of them documents a tool that pulls your files out of Dropbox for you. Google Takeout can deliver a Google export into Dropbox, but that is the opposite direction.

So the route is the one above: a copy you control, checked before anything is deleted. Leaving Google One as well? The Google One guide covers Takeout, the free 15 GB, and what happens to Gmail. Moving off OneDrive or iCloud+ has its own guide too.

A GOOD REASON TO WAIT

Stop before you cancel if

  • Any folder is still online-only, or the desktop app has not finished syncing.
  • A folder you need belongs to someone else and you have not taken your own copy.
  • The destination refused files whose names it would not accept, and you have not renamed and re-uploaded them.
  • You have not opened real files from the copy. A matching folder count is not a check.
